TITLE OF POSITION: Administrative Assistant
SUPERVISOR: Lead Pastor
HOURS: 15 hours/week, up to 20 during busy times
PAY RATE: $20/hour
A. GENERAL SUMMARY OF WHAT THE POSITION DOES
The Administrative Assistant performs all duties as required for the smooth operation of the administrative office and other duties relating to the operations and support functions of the church – i.e. greeting visitors, answering the telephone, facilitating communications, establishing and maintaining a system for the preservation of church records and documents, etc. This position provides administrative support for the Faith Lutheran Church Council, Pastor, Ministry Teams, and other leadership.
B. DUTIES AND RESPONSIBILITIES OF THE POSITION
The Administrative Assistant:
Answers the telephone and greets church visitors courteously and helpfully.
Log and distribute incoming mail, emails, phone messages, and visitor notifications to appropriate individuals and prepare outgoing mail.
Is responsible for sending, receiving, distributing, and/or notifying individuals of communications such as prayer chain requests, midweek announcements, Sunday readings to readers, and other communications as requested.
Supports Faith Lutheran Staff, Church Council, and Ministry Teams in preparation, production, and distribution, of meeting agendas, minutes, reports, communications, and other needs.
Maintains an updated computerized data management system that records transfers, new members, baptisms, deaths, participation in communion, etc.
Maintains and publishes an updated calendar of meetings and other church-related events.
Coordinates, edits, publishes, and distributes weekly worship materials including announcement sheets, PowerPoint presentations, and any other materials needed.
Works with the Pastor, Church Council, and Ministry Teams to publish and distribute Faith’s annual report.
Provides administrative support for ministry to elementary, confirmation, and high school-age youth.
Maintains physical systems such as telephone answering/messaging systems, copiers, building, record security, etc., and a schedule of organ/piano maintenance (in coordination with the musicians).
Keep the administrative office and the copier workroom clean and welcoming.
Follows established policies and procedures for maintenance of:
Electronic and physical record storage.
Petty cash management.
Purchasing of supplies and materials including submission of receipts, invoices, and statements to the bookkeeper.
PERFORMS OTHER DUTIES AS ASSIGNED TO ENSURE THE SUCCESSFUL
OPERATION OF THE CHURCH.

Direct supervision of those employees for which the position assigns, directs, and evaluates the duties.

D. KNOWLEDGE AND ABILITIES
Knowledge: Familiar with and can operate typical office machines and computerized office systems software. Understands office organizational and management systems. Knowledgeable and experienced in desktop publishing software. Familiar with or willingness to learn the theological beliefs and practices of the Evangelical Lutheran Church in America. Understands and practices acceptance of diversity.
Abilities: Able to organize, prioritize and complete multiple tasks. Able to communicate effectively both verbally and in writing. Able to work well with others in a team environment. Able to work with little daily direction. Able to represent Faith Lutheran Church positively to the community at all times.
Language Skills
Ability to communicate well both in writing and orally.
Ability to use proper grammar and spelling.
Ability to follow both written and oral instructions.
Ability to communicate in a helpful manner that is respectful of human diversity.
Ability to respond to common inquiries or complaints from congregants and report them to the pastor or a member of the church council.

E. EDUCATION AND EXPERIENCE
The above knowledge and abilities are typically acquired through a combination of education and experience in office/business management or other related area.
The individual must possess word processing skills and be proficient with Microsoft Office software (Word, Excel, PowerPoint) and willingness to learn other programs.
The Administrative Assistant must have the knowledge and experience to: manage numerous projects; establish effective organizational systems; communicate effectively; and, work collaboratively in a team environment.
A criminal background check and child abuse/neglect screening must be completed prior to employment.
F. PHYSICAL DEMANDS AND WORKING CONDITIONS
Required to lift typical office items, including small pieces of equipment, furniture, supplies, etc.
Work requires the use of computers with exposure to video display and the need to work in a sitting position in front of a computer for extended periods of time.
Noise level in work environment may be moderate at times.
